Job Description

Location:  Santa Clara, CA - on-site 5 days/week

Qualifications:
  • Experience & Education: Bachelor's degree and 5-10 years of administrative support experience in a fast-paced environment (preferably startup/high-growth).
Skills:
  • Meticulous attention to detail and high-accuracy work.
  • Strong technical proficiency in Google Workspace, productivity and communication tools, ability to quickly learn new tools.
  • Exceptional written and verbal communication skills. Strong attention to details.
  • Highly organized with excellent interpersonal skills and a collaborative approach.
  • Sound judgment, discretion, and ability to maintain confidentiality.
  • Adaptability, problem-solving skills, and a solution-oriented mindset.
  • Agility, proactiveness, and the ability to remain positive under pressure.
  • Mindset: Growth mindset, always seeking improvement.
  • Logistics: Willingness to travel weekly to the Santa Clara office as needed.

Responsibilities:
Core Focus: Maximizing Executive Efficiency and Impact
  • Proactive Priority Management:
  • Tracking priorities from meetings and setting objectives.
  • Ensuring follow-through on critical initiatives.
  • Managing competing priorities to keep executives focused.
Strategic Calendar & Travel Management:
  • Optimizing schedules for efficiency
  • Seamlessly coordinating complex travel arrangements.
  • Providing detailed itineraries and pre-meeting briefings.
Meeting & Communication Support:
  • Facilitating meetings, capturing action items, and ensuring follow-up.
  • Drafting and managing high-quality documents and communications.
Executive Liaison & Operational Support:
  • Acting as a key liaison between executives, teams, and partners
  • Providing proactive onsite support and managing day-to-day logistics
  • Filtering distractions, and handling requests.
Event & Offsite Planning:
  • Planning and executing executive team events. In essence, this role requires a highly organized, proactive, and discreet individual who can anticipate needs, manage complex logistics, and effectively support executives in achieving their goals.
